The Vision vs. The Reality of the Room
When the team at Genesys reached out to us to handle their upcoming corporate conference, they had a clear vision: they wanted a high-impact, modern stage design that would captivate their attendees. They had selected the beautiful ADERO Scottsdale Resort (located at 13225 N Eagle Ridge Dr, Fountain Hills, AZ).
But when I walked the venue during our initial site survey, I immediately saw the challenges. First, the ballroom was quite small relative to the client's grand vision. Second, there was virtually no heavy power available in the room. If you are searching for a production company for conferences in Scottsdale, you need a partner who identifies these roadblocks before they blow up your budget.
Here is exactly how our team at Centric Events solved the space and power issues to deliver a flawless show.
Industry Insight: Beating the $11,000 In-House Power Trap
One of the biggest hurdles event planners face is the predatory pricing models of in-house hotel AV companies. Because the ADERO ballroom lacked the built-in heavy power required to run a high-resolution screen and an intelligent lighting rig, we needed to bring in a generator.
The hotel’s in-house A/V company attempted to charge our client a staggering $11,000 for a heavy power generator. That is outrageous.
As your outside corporate event production partner, part of our job is protecting your budget. We immediately stepped in, leveraged our industry relationships, and negotiated directly with the in-house provider. By citing standard market drop rates and utilizing the client's contract leverage, we successfully negotiated the generator fee down to $1,200—exactly what we would have charged if we had brought in our own unit. We saved the client almost $10,000 before the first truck even loaded in.
Engineering Complex Room Flips
Space constraints require creative engineering. To fit a massive screen into a small ballroom without eating up the front row of seating, we bypassed traditional deep-truss rigging. Instead, we deployed a custom 20x10 LED video wall using a low-profile, ultra-slim ground support system. We framed it with custom stage scenic drape to create depth without sacrificing square footage.
But the real technical challenge was the schedule. The agenda required a total of six room flips. The hotel's airwalls would close, splitting the main general session room directly in half to create two breakout rooms.
In traditional setups, flipping a room means chaotic scrambling to re-patch audio cables and move speakers. We don't operate that way. Our audio engineers programmed a centralized digital matrix. During the main session, the LED wall, TV delays, and speakers functioned beautifully as one unified system. The exact moment the airwall closed, our tech hit a macro button on the console, instantly dividing the signal flow. The gear seamlessly transitioned into two entirely isolated systems for the breakouts. Zero downtime, zero feedback, zero stress.
"This is the best we have ever seen this ballroom look. The transformation is incredible."
— Banquet & Events Team, ADERO Scottsdale ResortThe After-Party: Repurposing the Tech
The client was thrilled with the daytime keynotes, but the conference didn't end at 5:00 PM. We also helped Genesys plan and execute the AV for their massive after-party in the same space.
Instead of bringing in a separate, expensive rig for the evening, we maximized their budget by repurposing the general session tech. We sourced a local DJ, flipped the intelligent stage lights into a sound-active dance floor program, and utilized the 20x10 LED wall as an immersive graphics and karaoke lyrics board. The transition from professional corporate summit to high-energy celebration was a huge hit.
