Executing an enterprise-level conference requires far more than dropping off speakers and projectors. It requires meticulous technical architecture.
We partner with Carvana every single year for their annual SPARK Conference. It is a relationship built on absolute technical trust, because every year the theme changes, the audience grows, and the production footprint must become more dynamic to keep the workforce engaged.
Hosted at the massive Talking Stick Resort & Casino, this year’s general session accommodated over 2,000 attendees. As a leading event production company in Scottsdale, we are intimately familiar with the specific logistical constraints of casino ballrooms—from navigating loading dock schedules to calculating maximum safe weight loads for ceiling rigging points.
However, this specific show required a new level of precision. The keynote speaker was NBA legend Shaquille O'Neal, and the stage was shared by Carvana's executive leadership, including CEO Ernest Garcia III. When executives and celebrities of that magnitude are on stage in front of thousands of employees and stakeholders, a dropped microphone, a delayed lighting cue, or a stuttering video feed is simply not an option. Everything had to be meticulously engineered for zero-fail performance.

Massive LED Mapping & Custom Stage Integration
In a room holding 2,000 people, standard projection screens are insufficient. The ambient light from the stage wash and the sheer distance to the back row demand the immense brightness and contrast of modular LED technology.
We designed and constructed a massive, ultra-wide primary LED canvas. Because LED panels are modular (typically 500mm x 500mm), our Video Engineers (V1s) had to meticulously calculate the total pixel count to ensure the content designers back at Carvana HQ could output native, pixel-perfect 4K graphics without stretching or letterboxing.
But the visual design didn't stop at the main screen. To create a deeply immersive environment, we utilized secondary LED panels to build a dynamic, glowing "stage skirt" wrapped directly into the physical stage architecture. This allowed our media servers to push cohesive, synchronized video content from the floorboards to the ceiling.
Signal Distribution at Scale
Pushing 4K uncompressed video to a wall that large requires serious bandwidth. Standard copper HDMI cables degrade after 50 feet. For the SPARK Conference, our Front of House (FOH) control desk was over 150 feet from the stage. We deployed tactical fiber-optic cabling and heavy-duty signal converters to ensure zero latency and zero signal degradation between our Barco presentation switchers and the LED processors.
RF Coordination and Absolute Redundancy
When executing an event of this magnitude in a casino environment, "hope" is not a strategy. Every system must be backed up by a hot-swapped parallel system.
- Acoustic Modeling & Line Arrays A 2,000-person ballroom creates immense acoustic challenges. If you just put loud speakers at the front of the room, you will deafen the first row while the back row hears nothing but muddy echo. We flew a concert-grade line array system from the ceiling and deployed perfectly time-aligned "delay towers" halfway down the room, ensuring crisp, intelligible vocal delivery to every single seat.
- Casino RF Congestion & Wireless Audio Casinos are arguably the most hostile environments in the world for wireless microphones due to massive Wi-Fi networks, security radios, and localized TV broadcasts. Using standard analog mics would guarantee dropouts. We deployed enterprise-grade Shure Digital Wireless systems, utilizing directional paddle antennas and frequency coordination software to lock down encrypted, interference-free airspace for the executives.
- Hardware & Signal Redundancy In live production, single points of failure are catastrophic. We engineered a completely redundant A/V workflow. We ran primary and secondary Mac Studios for presentation playback. If the primary playback machine crashed, the Barco E2 switcher would seamlessly failover to the backup machine in milliseconds, completely unnoticed by the audience.
- Redundant Live Streaming Architecture For the thousands of employees unable to attend the Scottsdale event in person, the live stream had to be as bulletproof as the in-room AV. We ran primary and backup hardware encoders utilizing separate, dedicated hardline network drops provided by Talking Stick Resort to ensure the stream stayed live regardless of localized network fluctuations.

The most expensive gear in the world is useless without a seasoned crew executing the cues.
Military Precision at Front of House
Executing a highly produced run-of-show with celebrity talent requires immense focus at the Front of House (FOH) mix position. A show of this scale is governed by a dedicated Show Caller—a technical director whose sole job is to follow the script and call out precise cues to the lighting, audio, and video engineers over a closed-loop comms system.
Our team ran through multiple rigorous technical rehearsals prior to doors opening. Every lighting shift, video roll, and atmospheric cue was tied to a specific line in the script or a specific musical beat.
To create the rock-concert energy requested by Carvana, we integrated atmospheric effects. We utilized safe, non-pyrotechnic cold spark machines for high-impact entrances. To make our intelligent moving-head beam fixtures visible across the massive ballroom, we deployed haze machines, allowing the light to cut through the air in sharp, dynamic arrays rather than just washing the walls.
When it was time for the main event, the integrated system performed flawlessly. The cues fired exactly on the beat, the redundant systems kept the signal perfectly clean, and the custom technology provided a massive, immersive environment for a highly successful corporate summit.
